Sometimes, it just seems like we have far more tasks on our To-Do lists than we can reasonably accomplish. That’s why I’ve compiled this giant list of “efficiency / productivity tips” busy entrepreneurs can use to improve their long-term productivity, in each of five main categories:
· Good Habit Tips, to improve your daily processes.
· Mental and emotional tips, to improve your mental state and emotional health.
· Communication tips, to increase your communicative efficiency.
· Team tips, to ensure you have the best people working for and with you.
· Analysis and improvement tips, to help you better understand how you work.
Part 1a: Good Habit Tips
1. Set goals for Yourself & “share” them. Whether they’re short immediate goals or big long-term goals. Have a trusted friend or two to share them with and make them hold you account-able for the accomplishment.
2. Determine Priorities. Learn to establish priorities for yourself (and hold yourself to them). For example, you could set “A,” “B” & “C” priorities, where A is urgent, B is important, and C is not immediately important. Always focus on A tasks first, especially if they have the highest impact.
3. Set a “time” Goal for each task. Setting a time for your tasks helps you in a number of ways. It gives you a sense of urgency, forcing you to work a little faster. It helps you keep track of time. And it rewards you with the promise of a mental break when the timer’s up – and it feels to make your goal of productivity.
4. Plan your Schedule the night before. Mornings are busy, and by the time you’re in the middle of your day, you’re already in the thick of things. Take a few minutes every night to draft an Agenda of what you need to do tomorrow & when. You can adjust it as you go – if you need to.
5. Wake up “earlier” every day. We all wish we had more time in the morning. But setting an alarm 1-2 hours early seems like an impossible challenge. Instead, set it back 5-10 minutes each day and you will find a time you can gradually adapt yourself to get more done – which will increase your productivity.
6. Start with something EZ. Start your first task with something easy [but still a priority] and it will give you momentum. Do another easy – unless you have a priority that is the highest ugly, er, urgency.
7. Start with something challenging. Though this may not be the same for every person, most of us benefit from doing a challenging task first thing in the morning — something difficult or we don’t want to do. When you do this, you feel accomplished, higher productivity and everything the rest of the day seems to be easier.
8. Take Breaks more frequently. We’ve all felt “too busy to take a break” before, but the reality is – breaks are good for your brain. They help you feel better rested, improve your focus and boost your mood, all at the same time. Even if it’s only for a few minutes, take a break from what you’re doing more frequently; and, wonderfully, you’ll get more done.
9. Have a Focus Time. Communication is one of our biggest distractions for entrepreneurs. So when you really need to get something done, turn off everything—your phone, your email, or any of your chat programs — and dedicate some time to focus on getting that urgent thing done.
10. Be ready to take Notes all the time, because you never know when inspiration is going to strike, or when you’ll meet someone important, so be ready to take note-taking tools on you at all times. Using a Smart-phone can make that easier (ie, use an app like Evernote or one of the similar default tools on your device).
11. Just say No sometimes. Your bosses, clients, peers & employees are all going to be asking you for things, pretty much all the time. The more often you say “yes”, the more indispensable you’ll feel, but the bigger your task list will grow. Learn to feel confident in saying “no” when appropriate. It won’t kill your reputation. In fact, you’ll gain respect.
12. Listen to Audio books & Pod casts. Let’s face it: We don’t always have time to read. But there’s almost always time to fit in a short section of an audio-book or pod-cast – especially during your commute. This can help you relax, clear your mind & teach you something new you can use in your daily life.
13. Play quiet Music. There are conflicting reports of whether music enhances or stifles productivity, but the empirical evidence suggests that with quiet easy-listening music can boost your productivity. Make it too soft and you won’t hear it and you’ll be straining to; too loud, and it will be distracting.
14. Let someone else do the Driving on your commute. Why are you driving to work when you could be taking public transportation, or an Uber or Lyft ride? Depending on your city, it might be a bit more crowded, a bit less reliable, or a bit slower, but you’ll have your hands free to do work, essentially ridding yourself of the dead time that’s usually associated with commuting.
